Manage a draft order
When you allocate a route to an asset, a draft order is created.
The draft order summary is where you review and manage an order before committing it and sending it to the supplier. It guides you step by step through configuring your order items.
The order heading shows the order name, type, state, and order reference, with breadcrumb navigation back to the orders list page. There are four sections: delivery details, items, payment, and order contents.
Delivery details
Complete delivery details before you can move on to the other sections.
The order reference, order name, and your contact details are pre-populated from your user profile and cannot be modified here.
-
Select an address from the available options in the Delivering to drop-down menu.
-
Select + Add another address to add a further delivery address from the available options.
-
Select + Add manual address to add a new one. Choose whether the address is personal or business, complete the required fields (marked with a red asterisk), and select Confirm.
-
Edit existing addresses using the pen icon, or remove them using the bin icon. At least one address must remain selected, so the bin icon does not display when only one address is present.
-
Depending on the order type, additional fields may display at the bottom of this section. Complete any that are marked as required.
The Save & Continue button becomes active once all required fields are populated. Select it to put the delivery details into read-only mode and activates the Items, Payment, and Order Contents sections. You can still return to modify the delivery details.
Items
The Items section, within Order Contents, lists every item added to the order, each with a thumbnail you can select for a larger preview and item details.
If you add multiple delivery addresses, Add allocation becomes active:
-
Variable rate: Adjust the quantity in increments of one using the arrow buttons. Use Add allocation to split the item across multiple delivery addresses.
-
Fixed rate: Choose from a drop-down of pre-configured quantities. Add allocation becomes Edit allocation, which lets you specify a different delivery address and adjust quantity, but you cannot split the item across multiple addresses.
-
Remove the allocations using the bin icon or Remove button.
Payment
The Payment section becomes available once you save delivery details. Select an account from the available options. If only one account is available, the system selects it automatically.
Accounts can be one of three types:
-
Strict: Has a credit limit that cannot be exceeded. If the order value exceeds the remaining budget, a message states that the account has insufficient funds, and the Place Order button is disabled.
-
Loose, with a target value: Has a configured target that acts as the credit limit. If the order value exceeds the remaining budget, the same message displays, but the Place Order button remains enabled.
-
Loose, without a target value: Has no limit. No warning message displays, and the Place Order button is never disabled.
Where applicable, a Budget Remaining value displays below the chosen account, shown in red if the order total exceeds it.
Select + Add another account to split the order cost across multiple accounts. The cost is split equally by default, but you can adjust the split values manually. If the split values do not match the order total, a warning displays in both the Payment section and Order Contents until you correct it.
Order contents
Order Contents summarises the order’s total cost, chosen account or accounts, and any remaining budget.
-
Select Discard at any time to delete the order.
-
Select Place Order once all details are complete and the total cost is covered by the chosen account or accounts.
| If a fixed-rate item’s allocated quantity does not match its fixed rate, a warning displays and blocks placing the order until you correct the allocation. |
