Create a brief

This guide explains how to create a project and complete its brief in Collaboration Hub. A completed brief is the starting point for all work in a project: the workflow does not progress until the brief is marked complete.

Prerequisites

Before you begin, ensure you have:

  • Access to a Collaboration portal with at least one project type available.

  • Permission to create projects. If you cannot create projects, ask an administrator to check your permissions.

Create a project

  1. Select Content Portal from the app switcher in the left navigation.

  2. Select Collaborate, then select the All Projects tab.

  3. Select Create New Project from the top-right corner of the tab.

  4. In the Create New Project dialog, set the project details:

    • Project Name (required): enter a name.

    • Project Type (required): select a type.

The project type determines the workflow stages, collaborator roles, and fields available in the brief. Understanding projects and briefs explains how project types shape a project.

    • Start and End dates (required): the start date is automatically populated with today’s date but can be changed. Select an end date.

The end date may be auto-calculated from the durations of each workflow stage, depending on how your organisation’s administrator has configured the project type.

    • Calculate milestones from or to a selected date. Select your reference point, such as project start date, project end date, or a custom date.

    • If keywords are available for the project type, add any relevant tags (for example, campaign, market, or brand).

  5. Select Create.

The dialog closes and you are navigated into the newly created project.

Complete the brief

The brief is a structured form inside a project, containing all the information needed to support the request.

Brief fields

The Brief fields tab displays all fields to be completed. The tab is displayed across all workflow stages, so brief information is accessible throughout the lifecycle of a project. Fields may include text inputs, dropdowns, or date pickers, depending on the selected project type. Required fields are visually marked; complete them before moving on. You can save your progress at any time, allowing you to navigate away from the tab without losing your work. Select Continue to move to the next section once all required fields are complete.

Collaborators

The Collaborators tab defines who is involved in the project and what they are responsible for. Manage project collaborators covers adding collaborators and assigning their workflow roles.

Milestones

The Milestones tab provides a high-level view of project progress beyond the individual workflow stages. Manage project milestones covers setting up milestones and updating their dates.

Comments

The Comments tab is a discussion thread attached to the project, accessible regardless of your current editor rights. Add and reply to comments covers adding comments and replying to them.

Resources

The Resources tab lets you attach supporting files and content assets to the project.

Deliverables

The Deliverables tab lets you add deliverables to the brief and populate them with assets.

Reviews

The Reviews tab displays all reviews created from the project’s resources. Create and run a review covers creating and running a review.

Sub-projects

The Sub-projects tab lets you nest multiple projects within a parent project, commonly used for campaign management.

Summary

The Summary tab displays an overview of the brief for you to check before submitting.

  1. Review the information across all sections.

  2. To make changes, select the relevant section and update the details.

  3. When the brief is complete, select the confirmation checkbox, then select Complete brief to finalise it.

The transition button remains greyed out in the workflow panel until all required fields are complete. Once submitted, the brief is locked and the project moves to the next stage in the workflow.
