Manage users

This page explains how to invite new users to Storyteq CMP, edit their roles, and deactivate, reactivate, or delete them.

To manage users, navigate to the User Management page by selecting Administration from the bottom-left navigation, then selecting Users. From here you can search for users by name or email address, or filter the list by Role.

You need the Admin role for Administration Panel to manage users.
User and group administration lets a user manage any user’s roles, including their own. Grant it only to people who should have full control over platform access.

Invite a new user

To invite a new user, from the User Management page:

  1. Select Invite Users.

  2. Enter the following mandatory fields:

    • Email

    • First name

    • Last name

  3. Select a preset from the Role Preset dropdown.

    Each preset assigns a default role in each module, as listed in the following table. The permissions each role grants are listed in Module permissions.

    The columns follow the order of the roles in the UI. Templates, Assets, Reviews, Integrations, and Analytics are listed under Adaptation Studio.

    Users with the Custom preset need both the Admin role for Administration Panel and a Content Portal role to manage users, groups, portals, and assets.
    Assigning any Templates role also grants access to Adaptation Studio through the app switcher.
  4. To change an individual role, open the dropdown for that role and select a different option.

    Changing any individual role changes the preset to Custom.
  5. Select Save and Invite.

The user receives an invitation email immediately, inviting them to sign in.

Invitation emails are sent as soon as you create the user and cannot be suppressed. Create users only when you are ready to give them access, rather than in advance.

If a user needs the invitation again, select Resend Invite from their entry on the User Management page.

Edit a user’s roles

To edit a user’s roles, from the User Management page:

  1. From the Active Users tab, browse or search for a user, and then select from Actions.

  2. Select a new preset from the Role Preset dropdown, or change individual roles as needed.

  3. Select Apply Changes.

Control access to Adaptation Studio

The Access to CA Platform setting controls whether a user sees the app switcher that opens Adaptation Studio. Enable it for users who need to work in Adaptation Studio, and disable it for users who should only work through the portal, for example to review or use adaptations. Set it when inviting or editing a user.

Deactivate or delete a user

A user must be deactivated before they can be deleted.

To deactivate a user, from the User Management page:

  1. From the Active Users tab, browse or search for a user.

  2. For the user, select , and then select Deactivate User.

  3. From the confirmation dialog, select Deactivate. The user moves to the Deactivated Users tab and can no longer access Storyteq CMP.

Alternatively, you can deactivate a user by deselecting the Active user checkbox from the edit user tab.

Deleting a user is permanent and cannot be undone.

To delete a user, from the User Management page:

  1. Select the Deactivated Users tab.

  2. Browse or search for a deactivated user.

  3. Select Delete User, then from the confirmation dialogue, select Delete.

Reactivate a user

To reactivate a deactivated user, from the User Management page:

  1. Select the Deactivated Users tab.

  2. Browse or search for a deactivated user.

  3. Select Activate User. The user moves to the Active Users tab, and can access Storyteq CMP again.

Alternatively, you can reactivate a user by selecting the Active user checkbox from the edit user tab.

Module permissions

The following tables list the permissions each role grants in each module. Roles are assigned per module when you invite a user or edit an existing user’s roles.

A Templates role is required to access Assets (adaptations).

The Restricted role grants access to view adaptations and templates linked in reviews only.
The Creator Limited role grants the same permissions as Creator, but only for the user’s own templates, uploaded source assets, and rendered assets.

Manager

Has full control of adaptations, including organising and approving them.

To upload completed adaptations to integrated channels, a user requires at least one Templates role (Creator, Builder, or Admin) and at least one Integrations role (User or Manager).
