Manage project collaborators
This guide explains how to add collaborators to a project and assign their roles. Each collaborator’s role determines what they can see and do, so assigning roles correctly keeps ownership and progress through the workflow clear.
Collaborators are Storyteq users with access to a project. Depending on their assigned role, a collaborator may be responsible for specific actions, or may only have visibility of the project.
When you create a project, you are automatically assigned as its project owner. The project owner sets up the project and moves it through the workflow. Other collaborators, including external partners such as agencies or content creators, are assigned a role that reflects their responsibilities, such as project owner or content creator.
A collaborator’s assigned role sets their permissions automatically, so they only see the tools and permissions their role requires.
Add a collaborator
-
Select Content Portal from the app switcher in the left navigation.
-
Select Collaborate, then select the All Projects tab.
-
Select a project.
-
Navigate to the Collaborators tab.
-
Select Add Collaborators.
-
Select Add in the Collaborators field, then enter the user’s name.
-
Select the correct user from the matching results.
To add multiple users with the same role, repeat these steps for each user before saving. To assign different roles, repeat the whole process separately for each role. -
Select Add in the Role field, then choose the appropriate role. Multiple roles can be assigned to a user.
-
Select Cascade to allow a role to be inherited to any sub-level projects or resources in the project.
-
Select Save.
The collaborator appears in the project’s collaborator list, with permissions based on their assigned role. You can remove individual collaborators or edit their roles from the Collaborators tab.
Assign workflow roles
At specific stages of the workflow, the project may require you to assign a project manager or content creator. Unlike adding a collaborator, you complete this assignment as part of the project workflow, not through the Collaborators tab.
-
Select Content Portal from the app switcher in the left navigation.
-
Select Collaborate, then select the All Projects tab.
-
Select a project.
-
In the workflow panel, select Assign Project Manager or Assign Content Creator.
The option that displays depends on the roles the current workflow stage requires.
-
Select the assignment field to display the list of available users.
Only users configured as Project Manager or Content Creator appear in this list.
-
Enter the user’s name, then select the correct user from the list.
-
Select Confirm Changes.
-
Continue transitioning the project to the next stage of the workflow.
To complete the transition, follow Move a project to the next stage.
| The workflow notifies assigned Project Managers and Content Creators automatically of the actions required from them. |
