Move a project through its workflow
This guide explains how to read a project’s workflow panel, view its history, and transition to its next workflow stage. A workflow transition moves a project from one stage to the next within its workflow. Transitions appear as named options in the workflow panel of the project, such as submit brief, approve content, or return for amends. Transitions keep work progressing in the right order, notify the right people, and trigger the actions each stage needs.
Ensure you have owner or editor permission to manage the project. Contact your administrator if you cannot manage a project.
View progress on the workflow panel
The workflow panel sits in the top-right corner of a project, and gives an overview of every workflow stage and the project’s current position.
Stages are visualised as dots on a horizontal line within the workflow panel. The current stage is highlighted, and shows the active step. Hover over previous and future stage dots to display their titles.
Stages are colour-coded:
-
Green stages are complete.
-
Unhighlighted stages are still to come.
Each stage includes a short description of what it requires.
Move a project to the next stage
Some stages offer more than one transition, such as returning the project for updates or moving it forward for approval. Review the available transitions carefully, and select the one that applies.
-
In the workflow panel, select the appropriate transition from the Available Transitions dropdown. If only one transition is available, it is selected by default.
-
Select Go.
Storyteq CMP triggers the automated actions defined for that transition, such as notifying the next responsible user, granting access or permissions, and publishing content to the DAM.
If you do not complete a transition, Storyteq CMP does not run these automated actions, and the project does not move to the next stage.
Different users are responsible for transitioning a project at different stages. If you are not responsible for the current stage, the workflow panel displays No actions required on your end, meaning the project is not currently with you to action.
Some workflow stages require you to assign a Project Manager or Content Creator before you can transition. To assign them, use Assign workflow roles.
