Create and run a review
This guide explains how to create a review for promoted adaptations, start it, and record decisions in Review Studio. A review collects feedback on an adaptation and records whether it’s approved or rejected. Approval unlocks publishing, distributing, and sharing.
Prerequisites
Before you begin, ensure you have:
-
One or more promoted adaptations in Files. To promote adaptations, use Promote adaptations.
Create a review
-
In My Content > Files, select the adaptations you want to review.
-
From the actions menu, select Create Review.
-
In the New Review dialog, set the review details:
-
Name (required): enter a name for the review; it appears as the dialog heading as you type.
-
Review Preset (required): select the review process to follow. Presets, including each stage and the people involved, are configured by an administrator.
-
Deadline: pick a date from the calendar.
-
Message: optionally add a note for the reviewers.
-
Private Review: this is on by default; leave it on to keep the review restricted to the people involved.
-
-
Select Create Review.
Each stage shows the assets under review and its reviewers. The reviewers are pre-filled from the review preset, and you can change them before you start the review, as described in Manage who is involved.
Manage who is involved
After you create the review, it opens with the following three tabs, which let you check the details and adjust who is involved before you start:
-
Overview: the review details, read-only.
-
Owners: people who can manage the review. Add or remove owners here.
-
Monitors: people who follow the review’s progress without taking part. Add or remove monitors here.
On each stage, the reviewer fields are open for editing by default:
-
Change a reviewer’s role, remove a reviewer, or add new reviewers. New reviewers are added with the reviewer role, which you can change.
-
Select Save, or Cancel to discard your changes.
Start the review
-
Select Start Review.
-
When asked to confirm that you are ready, select Confirm.
The review becomes active and each reviewer’s status shows as pending.
| You can still change the reviewers for a stage after the review has started, using the same process described in Manage who is involved. |
Find and open a review
All reviews are listed on the Reviews page in the left-hand navigation, so reviewers have one place to find the work waiting for them.
-
Open the Reviews page.
-
Select the Adaptation Reviews tab. Reviews created from projects appear under Project Reviews instead.
-
Choose a sub-tab:
-
My Reviews: reviews that still need something from you at their current stage.
-
All Reviews: every review, in any state (Active, Draft, Complete, or Aborted).
-
-
To narrow the list, filter by Created by me or Requires my attention, and use the Review State filter under All Reviews.
-
Select Launch on the review to open Review Studio.
If you created the review, you can also select its title under All Reviews to open its details and then open the canvas from there.
Make your review decision
Reviewers work through the assets in Review Studio, adding annotations and comments. Only the review’s decision makers approve or reject content; other reviewers contribute feedback without making that decision.
-
Open Review Studio with Launch.
-
Annotate each asset and add comments using the canvas tools.
-
If you are a decision maker, submit your decision to approve or reject each asset.
Back on the review, each decision maker’s decision is shown against the stage: a green thumbs-up for approved, and a red thumbs-down for rejected.
When a review completes
A review finishes once every decision maker has submitted a decision for every asset in every stage:
-
If the content is approved, the review state becomes Complete.
-
If the content is rejected, the review state becomes Aborted.
When an adaptation is approved, its onward actions unlock in Files: Download, Distribute, Publish to DAM, and Share.
